This Privacy Policy describes how AutoEstimatePro collects, uses, and protects information you provide when using our vehicle damage assessment platform.
Information We Collect
We collect account information (name, email address) provided during sign-up, vehicle images and VIN data you upload for damage assessments, payment information processed through Stripe, and usage data such as pages visited and features used.
How We Use Your Information
Your information is used to provide the damage assessment service, process payments, send account-related communications, and improve the platform. We do not sell your personal information to third parties.
Vehicle Photos and VIN Data
Damage assessment requires you to upload photographs of a vehicle and, in most cases, its VIN. Those photographs are stored against your account so you can reopen, re-download, and share the resulting report later. A VIN you submit is also sent to the NHTSA vPIC public API to decode year, make, model, and factory equipment. Photographs of a vehicle interior can incidentally capture personal items or documents — review your images before uploading, because we cannot selectively remove content from an image after a report is generated.
Automated Processing and AI Subprocessors
Damage detection is performed by third-party AI model providers. Your uploaded images and the vehicle details attached to them are transmitted to those providers for the sole purpose of producing your report. We do not authorize them to use your submissions to train general-purpose models. Repair costing additionally queries parts marketplaces, which receive the part description and vehicle fitment data but not your identity.
Payment Information
Card details are collected and processed by Stripe and never transit or rest on AutoEstimatePro servers. We retain only the non-sensitive records Stripe returns to us — customer identifier, subscription status, and the outcome of each charge — which is what lets us apply report credits to your account.
Sharing a Report
Reports are private to your account by default. If you generate a share link, anyone holding that link can view that single report without signing in — that is the purpose of the feature, so treat the link as sensitive and only send it to people you intend to have it. Reports purchased as a guest, without an account, are likewise reachable by their unique identifier. Sharing a report never exposes your account, billing details, or any other report.
Retention and Deletion
Account data, reports, and their associated images are retained while your account is active so that past assessments remain available to you. You may request deletion of your account and its reports at any time by contacting us. Records we are required to keep for tax and accounting purposes — invoices and payment history — are retained after deletion for the period the law requires.
Email and Communications
Transactional email — receipts, report-ready notifications, password and account messages — is delivered through our email provider and is a necessary part of the service. Marketing email, where sent, carries an unsubscribe link in every message, and unsubscribing does not affect transactional messages you still need to receive.
Text Messages
We run two text-message programs and neither sends marketing. Messages from the live chat widget generate an internal alert to our support team; no customer phone number is collected there. Separately, body shops embed our estimate widget on their own sites: if you request an estimate through one and choose to enter a phone number — the field is optional, and email alone works — we text you your preliminary estimate and a link to the full report, sent by AutoEstimatePro on that shop's behalf. That number is stored with your request and given to the body shop whose widget you used, because the shop needs to contact you about the repair; from that point the shop's own privacy practices apply. We never sell or rent phone numbers, share them with anyone else, or use them to market to you. Message frequency varies, typically one text per estimate; message and data rates may apply; reply STOP to opt out or HELP for help.
Cookies and Local Storage
We use cookies and browser local storage to keep you signed in between visits, to remember interface preferences, and to measure aggregate usage so we can see which features are actually used. Blocking cookies entirely will prevent sign-in from persisting.
Data Security
We use industry-standard security measures including encryption in transit and at rest to protect your personal information. Authentication is handled by a dedicated identity provider rather than by storing passwords ourselves.
Your Choices
You can access and download every report on your account at any time, correct your account details from your profile, and request export or deletion of your data by contacting us. Depending on where you live you may have additional statutory rights over your personal information; we honor those requests regardless of residency.
Changes to This Policy
If we make a material change to how information is collected or used, we will update this page and, where the change is significant, notify account holders by email. Continued use of the service after an update constitutes acceptance of the revised policy.
